How we protect and handle your personal information
Privacy Notice
Last updated: 1 October 2026
This notice explains how Bourne Dental Group collects, uses and protects personal information — for our patients, people who contact us or use our websites, people who give consent for photographs and videos, job applicants and our team. It applies to all of our practices: Bourne Valley Dental Clinic (Tidworth), St. Mark's Dental (Cambridge) and Jiggins Dental (Birmingham).
We handle personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are and how to contact us
Bourne Dental Group is the data controller for the personal information described in this notice.
Bourne Dental Group
Beacon House, Station Road, Tidworth, SP9 7NN
Telephone: 01980 847600
For any privacy question, or to exercise your rights, contact our Compliance team: [email protected]. You can also ask at any of our practices.
2. What information we collect
Patients: your name, date of birth, contact details, address, NHS number where relevant, medical and dental history, examination notes, X-rays, photographs and scans taken as part of your care, treatment plans, appointments, payment details and correspondence with you.
Website visitors and enquirers: the details you give us in our online forms — such as your name, email address, phone number, which practice you are interested in and your message — and basic technical information such as your IP address and browser.
Photo and video consent: your name, contact details, practice, the options you ticked, and the date, time and technical details of your consent (see section 5).
Job applicants and our team: the information needed to recruit and employ people, such as contact details, employment history, right-to-work and professional registration documents, attendance, leave and payroll information.
3. Why we use it and our lawful basis
To provide your dental care — assessment, treatment, referrals, recalls and keeping accurate clinical records. Lawful basis: performing our contract with you and our legal obligations (UK GDPR Article 6(1)(b) and (c)); for health information, the provision of health care (Article 9(2)(h)).
To run our practices — appointments, reminders, payments, complaints, audits and quality checks. Lawful basis: our legitimate interests in running safe, efficient practices (Article 6(1)(f)) and our legal obligations.
To reply to your enquiry — when you contact us through our websites, by email or by phone. Lawful basis: taking steps at your request before treatment and our legitimate interests (Article 6(1)(b) and (f)).
Photographs and videos for marketing or education — only with your consent, for the specific uses you choose (Article 6(1)(a) and, for health information, explicit consent under Article 9(2)(a)).
Employment and recruitment — to employ and pay our team and meet employment law. Lawful basis: our employment contracts and legal obligations (Article 6(1)(b) and (c); Article 9(2)(b) for health information needed for employment).
We do not sell your personal information, and we do not use it for automated decision-making that has legal or similarly significant effects on you.
4. Clinical photographs
Photographs, X-rays and scans taken to plan or record your treatment form part of your dental record and are used for your care. They are not used for marketing or teaching unless you separately give your consent.
5. Photo and video consent for marketing and education
If you agree to us using photographs or videos of you or your treatment for marketing or dental education, we record exactly what you agreed to — which parts of you we may show and your consent to marketing and educational use — together with the date and time you consented.
You can withdraw your consent at any time by emailing [email protected], calling 01980 847600 or speaking to your practice. Please read our Photo & Video Consent Terms & Conditions and use our online consent form.
7. Information outside the UK
Our information is held in the UK wherever possible. If a service provider processes personal information outside the UK, we make sure it is protected by appropriate safeguards — such as UK adequacy regulations or the ICO's International Data Transfer Agreement.
8. How long we keep information
We keep dental records for the periods recommended by the NHS Records Management Code of Practice and professional guidance, which are longer for children's records. Website enquiries are kept only as long as needed to deal with them and any follow-up. Photo and video consent records are kept while your content is in use and for a reasonable period afterwards, so we can show what was agreed. Employment records are kept for the periods required by employment and tax law. After that, information is securely deleted or destroyed.
9. Keeping your information secure
We use appropriate technical and organisational measures to protect personal information, including access controls so team members only see what they need for their role, secure systems and staff training.
10. Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete information, or restrict how we use it, where the law allows (we must keep clinical records for set periods);
- object to how we use information on the basis of our legitimate interests;
- ask for information you gave us to be transferred to you or another organisation, where the law allows;
- withdraw your consent at any time, where we rely on consent.
To make a request, email [email protected], call 01980 847600 or ask at your practice. We will respond within one month, and there is normally no charge.
12. Questions and complaints
If you have a concern about how we use your information, please contact us first at [email protected] so we can put it right.
You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.
13. Changes to this notice
We may update this notice from time to time. The latest version is always on this page, with the date it was last updated at the top. Contact us if you have any questions.
